A Cycling Studio Sells Seats. Count Them.

A cycling studio has a fixed number of bikes and classes. Everything comes down to how many seats are filled by a rider who paid and turned up. Below is the arithmetic for a hypothetical studio with 40 bikes and 30 classes a week. Your numbers will differ; the logic will not.

Every number tells you what to do next

Swipe the cards or use the arrows to follow one week from capacity to retention, billing, and reporting.
Weekly inventory
1,200

Seats a week

Forty bikes, thirty classes. That inventory expires when the lights go down. Set each class once with its recurrence and capacity of 40, then publish it to the booking page and app. Closed days say so instead of showing an empty list.

Doing the workClass calendar, recurrence and capacity, public booking in your time zone, and closed-day messaging.
Class capacity
40

The class is full, and the 41st rider

The next rider joins the waitlist in one tap and gets a push when a bike opens. A cancellation promotes the next person automatically or lets the desk do it in one tap, followed by a text from the studio’s own number.

Doing the workWaitlists, automatic and one-tap promotion, studio-number texts, and push notifications.
Empty bikes
3

Bikes empty at 6:00 because someone didn’t come

Three no-shows in a sold-out class means three waitlisted riders stayed home. An automatic nudge follows up, while the booking page displays your real cancellation window and prevents past reservations from being cancelled after the fact.

Doing the workNo-show nudges, policy-based cancellation messaging, and reservation rules.
Daily schedules
7

Different opening times in one week

Sunrise weekdays, a later Saturday start, nothing Sunday, and a late Thursday. Set hours per day for the studio and room. A single day can extend beyond the standard window, and riders only see times you are actually open.

Doing the workPer-day studio and space hours, including extended hours on one day.
Retention signal
14

Days since a regular last rode

The Retention dashboard flags the rider who stopped coming, recommends a win-back step, and drafts the message. Segment Builder can find every active-plan rider with no reservation in 14 days and preview the real reachable count.

Doing the workRetention recommendations, segmentation, tracked SMS campaigns, and loyalty bonuses.
Pack balance
10

Rides on a pack, counting down

A 10-ride pack charges up front and decreases with every use; riders see the balance in the app. Monthly plans advance their next charge date, remind expiring cards, retry declines by your rule, and show plan terms clearly.

Doing the workRide packs, recurring memberships, card on file, reminders, retries, and visible terms.
Desk add-ons
2

Things sold before the doors close

Put clip-in shoe rental and a bottle of water on the rider’s card on file in the same system as the pack. Gift cards carry a running balance and printable certificate, while inventory warns when water is low.

Doing the workPoint of sale, inventory, card on file, and gift cards.
Permanent record

Waiver, signed once, kept forever

A new rider signs and completes intake on their phone before class. The signed form stays on the profile, visible to rider and staff, and the desk immediately sees who still needs to sign. Passkey and emailed magic-link access remove forgotten passwords.

Doing the workDigital waivers, intake forms, signatures, consent, passkeys, and magic-link sign-in.

Spreadsheets at the end of the month

See fill rate by class and instructor, settled revenue in your time zone, and Commission Summary for per-class pay. Booking confirmations and reminders run automatically, with an execution log for every message.

What each person needs, nothing they do not

What the rider sees

The week’s schedule, bikes remaining, one-tap booking or waitlist, an opening alert, reminder text, pack balance, card, receipts, and signed waiver—in your colours and words. Browser booking works without the app.

What the instructor sees

Their own phone-ready classes and rosters, first-timers, waitlist, and per-day teaching hours. Staff permissions show the room and riders without exposing studio billing.

Questions cycling studios ask

Classes are booked to capacity; the studio assigns bikes at check-in. Ask us about roadmap items on the demo.
Plan terms and cancellation-window rules are yours to set and are shown on the booking page and plan details.
No. Booking, packs, and waivers work in a browser. The app adds push notifications and passkey sign-in.
