Most schools are running inside a week

Follow this order to move the roster, schedule, ranks, billing, forms, inventory, and communication across cleanly.

Day 1 – Roster and families

Import your student list in bulk. If you use student numbers, they are assigned on import in the format you choose. Group students into households and set the responsible payer for each.

Day 2 – Programs, classes, and hours

Set up each program as a class with its recurrence and capacity. Give the mat its own hours per day if the schedule differs by weekday, and set the school’s hours as the outer boundary so nothing can be booked while you are closed.

Day 3 – Rank systems

Create a rank system per discipline, name the ranks in your own terms (belts, stripes, kyu, levels), and record each student’s current rank so the dashboard is accurate from day one.

Day 4 – Plans, waivers, and the pro shop

Add your membership plans and payment-plan terms, upload your waiver and intake form, and load the pro-shop inventory from a spreadsheet instead of typing it in.

Day 5 – Turn on texting and reminders
