Cloud Gym Manager

Four People, One Screen

A fitness studio has an owner watching the numbers, a front desk moving people through the door, coaches running the floor, and members who want everything to work from their phone. CloudGymManager gives each the right view of the same truth.

One day, seen from every role

Select a role or swipe through the four views. Each person sees what matters and stops doing the admin that belongs to the system.
Seat 1 · The owner

Tuesday, 7:40 AM

Kitchen table

Before opening, she has seen settled revenue, expiring cards, two retention flags, and the pay-period Commission Summary on her phone. She has not opened a spreadsheet.

What the owner stops doingRunning billing day. Memberships charge on schedule, declines retry by her rule, and visible plan terms prevent surprises.
What the owner sees
  • Settled revenue, payment success/failure, fill rates, retail, and overdue payments
  • Retention dashboard, win-back playbooks, and loyalty activity
  • Commission Summary and Payroll, ready to export
  • Every location on one login, with each location’s data isolated
Seat 2 · The front desk

Tuesday, 5:55 PM

The rush

Nine members scan in, a new member already signed her forms, a guest buys a day pass, and a shaker bottle plus premium tier go onto a saved card. Inventory drops by one.

What the front desk stops doingChasing signatures, typing imports, using a separate pro-shop register, or reading the schedule from paper.
What the front desk sees
  • Kiosk and staff check-in, rosters, active plans, and missing waivers
  • POS, inventory alerts, saved cards, and gift-card balances
  • Fast member search and custom-format member numbers
  • Families under one payer with one household statement
Seat 3 · The coach

Tuesday, 6:02 PM

On the floor

His phone shows twelve names, a first-timer, and a staff-only shoulder note. After class he logs a benchmark and form note. Thursday’s later closing time is already in the calendar.

What the coach stops doingAsking who is coming, keeping progress in a notebook, or seeing billing their role does not include.
What the coach sees
  • Own classes, appointments, rosters, waitlists, and first-timer flags
  • Workout history, PRs, goals, assessments, and staff-only notes
  • Per-day hours for classes and spaces, including late or half days
  • AI Workout Planner when a session needs drafting
Seat 4 · The member

Tuesday, 9:15 PM

From the sofa

She books Thursday, joins Saturday’s waitlist, gets a push when a spot opens, checks her pack balance, updates an expiring card, and buys a gift card—signed in with her face.

What the member stops doingCalling, waiting for a booking email reply, or guessing whether class is full.
What the member sees
  • Schedule, booking, waitlists, and reservations in the club’s time zone
  • Plan, pack balance, payment method, receipts, and signed forms
  • Workout history, personal records, and goals
  • The club’s own colours and wording in app, login, and signup

The closure alert reaches everyone

At 6 AM, the owner writes one snow-closure text. Segment Builder selects everyone booked that day and sends from the club’s own number with delivery tracking. The desk sees it in the campaign log, the coach gets it on their phone, and members receive it before leaving home.
Members opt in by category, so alerts and promotions never share a channel they did not agree to. Longer messages use templates from the club’s own email domain.

I run two very different businesses – a golf club and a fitness gym – and I use CloudGymManager to manage both.
