Cloud Gym Manager

Run the Season. We’ll Run the Roster.

Whether you meet at the park on Tuesday nights, coach thirty athletes individually, or fill a couch-to-5K every spring, coaching is the job and admin is the tax. CloudGymManager handles dues, bookings, waivers, messages, and each athlete’s activity log—phase by phase.

Phase 1 · Base

Build the roster before the miles

Coaching reality

January brings new runners, unsigned waivers, an opening beginner intake, and annual dues that cannot live in a spreadsheet and transfer-message thread.

01

What the software is doing

Branded signup collects waivers and intake forms before session one. Monthly or annual dues charge a saved card. Fixed-length courses carry a start date and capacity. Imports assign member numbers, while family accounts let parents pay for junior runners.

Phase 2 · Build

Move the sessions without losing the runners

Coaching reality

Track Tuesday, hills Thursday, long run Saturday. Start times change with daylight, 1:1 athletes need real openings, weather cancels sessions, and everyone needs the update quickly.

02

What the software is doing

Capacity and waitlists manage group sessions. Per-day service hours publish genuine 1:1 openings in the club’s time zone. Segment Builder texts booked runners from your number with delivery tracking; athletes log sessions while coach notes stay internal.

Phase 3 · Race week

Put every event detail in one place

Coaching reality

Bib pick-up, briefings, kit orders, a capped shakeout run, parking questions, race-day reminders, and results all arrive in the same crowded week.

03

What the software is doing

Briefings and shakeouts become bookable events with known rosters. Kit sells through POS with inventory and saved cards. Email handles the details, text handles race morning, automations log delivery, and results stay as personal records.

Phase 4 · Recovery and renewal

Notice the quiet runner before renewal

Coaching reality

After the goal race, a first-time finisher either joins the next block or stops coming quietly. Without a signal, the club only notices when the plan lapses months later.

04

What the software is doing

Retention flags falling attendance, recommends a win-back step, and gives volunteers a playbook. Loyalty rewards the new block’s first session, previous finishers receive the next intake first, renewals retry cleanly, and coach pay is ready.

What this is and isn’t

CloudGymManager runs the business side of a running programme: who is a member, who paid, who booked, who signed, who received the message, and what each athlete logged. It is not a GPS or training-load analysis tool, and it does not pretend to be. Athletes keep the watch and running app they already use; you keep one place for the roster, dues, bookings, and messages.

The season in the club’s colours

Questions running clubs ask

Dues, bookings, waivers, and one text channel can be the whole setup. Roles let the treasurer see billing and session leads see rosters.
Yes. Courses and recurring plans are separate products, and one runner can hold both.
Yes. The booking page resolves times in the club’s time zone, and appointment cards show the correct day.
No. Booking, dues, and waivers work in a browser. The app adds push notifications and passkey sign-in.
CloudGymManager is free to use: no monthly fee, per-member fee, or feature tiers. Payment processing through Host Merchant Services funds the software.

Bring Next Season’s Calendar

We will set up a block of sessions, a beginner course, and a race-week event on a demo club, then book, waitlist, and text a runner so you can see the season from the other side.
